This guide will help you solve the most common issues when using Goodnotes Education with your school account. Most problems have quick fixes you can try yourself, but we'll also let you know when it's time to contact your IT administrator.
When to Contact IT Right Away

- "License Key Invalid"
- "License Key Not Found"
- "Unable to validate License Key"
- The app asks you to purchase or start a trial
These are technical deployment issues that only your IT team can resolve.
Sign-In Problems
I can't sign in to Goodnotes
The first thing to check is whether you're using the correct sign-in method for your school. Your district may use one of these:
- Sign in with SSO (Edlink)
- Google Workspace
- Microsoft 365
- Apple
If you're not sure which identity provider your school uses, check with your IT administrator or another teacher who's already using Goodnotes. Make sure you're connected to the internet—you can't sign in while offline.
Try this:
- Verify you're using the correct sign-in method
- Check your internet connection
- Try the different sign-in options to see if your district supports multiple methods
Contact IT if:
- All available methods fail
- You see errors like "Sign in failed"
- The sign-in button doesn't respond
I signed in successfully, but I don't see any Class Folders or my school organization
This is one of the most common questions teachers have. Here's the important thing to know: signing in to Goodnotes creates your account, but it doesn't automatically add you to your school's organization. Those are two separate steps.
What to do:
- Check your email for an invitation from your school administrator (subject line will mention your school name)
- Click the link in that email or scan the QR code to join your school's organization
- Verify you signed in with your school email using the correct identity provider
Once you've accepted the invitation, your school organization and any Class Folders you've created or been added to will appear.
Contact IT if:
- You've accepted an invitation but still don't see your organization after 24 hours
- You're certain you should have access but nothing appears
- You're not sure which identity provider your school uses
Account and Subscription Questions
I already have a personal Goodnotes account with my school email
You can keep using your existing account—no need to create a new one or worry about losing your personal work.
What to do:
- Sign in using whatever method you used originally (Google, Microsoft, Apple, or SSO)
- Accept the email invitation from your IT administrator to join your school's organization
- Your personal documents remain private; only content in Class Folders is shared
You can continue using Goodnotes for personal note-taking, lesson planning, and professional development work alongside your classroom teaching.
Contact IT if: You can't remember your original sign-in method or you're getting errors with your existing account.
I'm seeing a warning about my paid Goodnotes subscription
If you purchased your own Goodnotes subscription before your school's deployment, you'll see a warning when accepting your school's invitation. This happens because your school's license will provide access to all features, which may replace your personal subscription.
Your personal documents will remain completely private—only content in Class Folders is shared within your school. If you prefer to keep your personal and school work completely separate using different accounts, talk to your IT administrator about your options before accepting the invitation.
Migrating from the Classroom App
Where are my documents from the old Goodnotes Classroom app?
Good news: your Class Folders will automatically appear in Goodnotes as soon as you sign in—you don't need to do anything special for those. However, your private documents from the Classroom app (lesson plans, personal notes, draft materials) need to be manually transferred.
What to do:
- Look for a pop-up message in the old Classroom app with step-by-step migration instructions
- Transfer your private materials when it's convenient—your Class Folders already work in Goodnotes
- Your students can access shared content immediately; the migration is only for your private documents
This isn't an IT issue, so you don't need to contact your administrator unless you're experiencing technical problems with the migration process itself.
Connection and Deployment Issues
"Unable to validate License Key" or connection errors
If you're seeing messages about being unable to validate your License Key, here's what to try:
- Check your internet connection
- Restart the Goodnotes app
- If you're on cellular data, switch to your school's Wi-Fi network

- You're on school Wi-Fi and other apps work fine
- Multiple teachers are experiencing the same problem
The app is asking me to purchase Goodnotes or start a trial
⚠️ Contact IT immediately—this means your school's License Key isn't active on your device yet. This is a technical deployment issue they need to resolve.
They'll need to know:
- Your device model (e.g., "iPad Air, 5th generation")
- Your iOS version
- Whether it's school-owned or personal
- Your school email address
Managing Class Folders and Student Access
Students report they can't see a Class Folder I shared
First, verify that you actually shared the Class Folder with them. In Goodnotes, you need to generate and share a Class Folder QR code for students to scan.
What to try:
- Have students scan the QR code again—sometimes the initial scan doesn't register
- Check that students are signed in with their school accounts
- Verify students have joined your school's organization (through email invitation or QR code)
Contact IT if:
- Students have scanned multiple times and the folder still doesn't appear
- The entire class is experiencing the same problem
Students can see the Class Folder but can't open documents inside
First, verify that you've actually distributed the documents to the Class Folder and that they're fully uploaded. Check your internet connection, as documents need to sync from your device to the cloud before students can access them.
Contact IT if:
- You've confirmed documents are uploaded but students still can't open them after several hours
- Multiple students across different classes report the same problem
I can't create or manage Class Folders
Creating and managing Class Folders requires that you're properly added to your school's organization with a teacher role. If you've signed in but don't see options to create Class Folders, check that you've accepted your email invitation to join the school organization.
Contact IT if:
- You've joined the organization but don't have teacher permissions
- You see error messages when trying to create or modify Class Folders
Privacy and Data Questions
Are my personal lesson plans and notes visible to my school?
No. Only content you explicitly place in Class Folders is shared with students of that class. Everything else stays completely private.
Think of it as having separate filing cabinets: Class Folders are the shared cabinets where you distribute materials to students, while everything else is your private filing system.
What happens to my Class Folders if I leave the school?
Contact your IT administrator to understand your schools policy on data retention when teachers leave. Some schools allow departing teachers to export their materials, while others have specific policies about maintaining student work and classroom materials. It's best to clarify this before you need it, especially if you're planning to move to a different school or district.
