Domain Verification Guide [Legacy Method]

This article covers Goodnotes Education with Admin Console deployment features only.

Overview of Changes

As part of the transition from Goodnotes Classroom to Goodnotes Education in October 2025, we modernized how educational institutions manage user access and authentication. Domain verification was previously used to automatically enroll users with verified email domains into your school's organization. However, this feature is now considered legacy and is being phased out in favor of more flexible and secure authentication methods.

This guide explains the current status of domain verification and the recommended alternatives for managing your institution's users.

Current Availability

School Type Domain Verification Available Actions
New Schools ❌ Not available Use email invitations to add users
Existing Schools

✅ Currently active • Continue using for automatic enrollment
• Disable permanently ⚠️

⚠️ Important: Once domain verification is disabled, it cannot be re-enabled.

Recommended Methods for Adding Users

For all schools, email invitations are the recommended method for adding users to your organization.

Email Invitations (Primary Method)

  • Send individual or bulk invitations via Admin Console
  • Upload CSV files for large-scale onboarding
  • Works with any email domain

Class QR Codes (Optional)

  • Teachers share QR codes from Class Folders
  • Students scan to join classes
  • Enable "Join School when joining Class" in Admin Console to also add students to your organization

Note: SSO (via Edlink) handles login but doesn't automatically add users to your organization. Users still need invitations.

Managing Existing Domain Verification

If your school currently uses domain verification:

  1. Access Admin Console > Identity Provisioning > Domain Management
  2. View your verified domains
  3. To disable (permanent): Click the three dots and select disable option

Completing Pending Verifications

  1. Click "View Verification Code"
  2. Add TXT record to your DNS settings
  3. Wait up to 72 hours for automatic verification
  4. Receive email confirmation

Important Reminders

  • Once disabled, domain verification cannot be re-enabled, as we have phased out the need for this
  • Start transitioning to email invitations before disabling
  • Test new methods thoroughly before making permanent changes
